Inventory Management

Inventory Management Software for Growing Operations

Replace the spreadsheet-and-guesswork approach with a system that tracks every stock movement as a permanent event. Get real-time visibility, accurate costs, and a complete audit trail.

Inventory Management

Why spreadsheets stop working

Spreadsheets are the default inventory tool for most growing businesses, and for good reason. They are fast, free, flexible, and everyone knows how to use them. But growth exposes their fundamental flaw: they were never designed for concurrent, multi-user, real-time inventory management.

As the business grows, spreadsheets multiply: one for raw materials, one for finished goods, one for purchases, one for production. Someone always has the wrong version open. Formulas break. Columns go out of sync. Stock "disappears" because a SUMIF refers to the wrong sheet. And when a discrepancy appears during a physical count, there is no way to trace what happened.

Enterprise ERPs solve the concurrency and audit problems but introduce new ones: months of implementation, six-figure contracts, and systems so complex that your team needs weeks of training just to create a purchase order. Most small and mid-size operations trade one problem for another.

Loribase was designed specifically for the gap between spreadsheets and enterprise ERPs.

Stock Visibility

Four stock states, always accurate

Traditional systems track a single "on hand" quantity. Loribase tracks four simultaneous states derived from the complete event history. This gives you the precision needed to plan production, commit to orders, and manage purchasing without guessing.

Physical stock

The material that actually exists in your warehouse. Updated in real time with every received purchase, completed production, or confirmed outbound transfer.

Reserved stock

Physical stock that has been committed to a work order or confirmed shipment. Still in the warehouse, but locked so it is not available for other operations.

Available stock

Physical minus reserved. The only quantity that should drive new production planning or customer order acceptance. Never overstate what you can actually use.

Incoming stock

Confirmed purchase orders not yet received. Plan production around what is coming, not just what is already here. Reduce the lead time gap in your operations.

How It Works

How Loribase inventory management works

01

Every movement becomes an event

When a purchase arrives, a production consumes material, or a transfer is completed, Loribase records a permanent, immutable event instead of just updating a quantity field. The event carries the user, time, document reference, quantity, and lot number.

02

States are calculated, never stored

Your current stock quantities are always calculated from the full event history. There is no single "stock field" to accidentally overwrite. The system is always consistent with reality and always auditable.

03

FIFO costs flow automatically

Because purchase events carry unit costs and dates, every production run automatically knows which batch was consumed first and at what price. Real FIFO costing without manual lookup or estimation.

04

Lot traceability end to end

Every lot can be traced forward (which productions used it, which customers received it) or backward (from which supplier purchase it came). Essential for expiry management, quality control, and regulatory compliance.

Features

What Loribase inventory management includes

Multi-location support

Manage stock independently across multiple warehouse locations. Transfer between locations with full documentation. Get a consolidated view or drill down to a specific warehouse.

Batch and lot tracking

Every incoming batch has its own identity: supplier, purchase date, unit cost, expiry date (when applicable). Track lots through every transformation until they reach the end customer.

Physical count and reconciliation

When a physical count reveals a discrepancy, record an adjustment event with a reason. The correction is recorded while the original history is preserved, not overwritten.

Purchasing integration

Create and track purchase orders. When items are received, stock increases automatically. See what is on order and when it is expected to arrive before it gets here.

Production integration

When a production run is started, raw materials are automatically reserved. When it completes, consumption is recorded with real FIFO costs and finished goods are added to inventory.

Full audit trail

Every stock movement (purchase, production, transfer, reservation, adjustment) has a permanent record with user, timestamp, and document reference. Export it anytime for compliance or management review.
